Job Summary

The Travel Manager is responsible for coordinating and optimizing business travel arrangements to ensure cost efficiency and a seamless travel experience for employees. This role supports organizational operations by managing travel logistics, vendor coordination, and compliance with corporate travel policies.

Key Responsibilities

  • Manage and optimize accommodation and transportation procurement to meet organizational travel needs in a cost-effective manner.
  • Advise employees on travel requirements, including visas, medical considerations, and international travel regulations.
  • Coordinate with employees to confirm destinations, travel dates, transportation preferences, and lodging requirements.
  • Review ticketing and booking activities to ensure accuracy, cost compliance, and adherence to travel policies.
  • Monitor carrier schedules, fare structures, and regulations, adjusting bookings as needed.
  • Book flights, ground transportation, and hotel accommodations and provide confirmed travel details to employees.
  • Prepare detailed travel itineraries and arrange additional travel services as required.
  • Respond to inquiries related to routes, fares, schedules, and accommodations in a timely manner.
  • Manage ticket issuance, printing, or electronic delivery.
  • Perform additional duties as needed to support travel operations.
  • Comply with all corporate policies, including HIPAA Privacy and Security requirements.

Required Qualifications

  • High School Diploma or equivalent.
  • College degree or relevant travel-related certification preferred.
  • 3–4 years of professional experience in travel coordination or travel management.

  • Strong organizational skills with high attention to detail.
  • Ability to manage and prioritize multiple tasks efficiently.
  • Proficiency with MS Outlook and internet-based tools.
  • Excellent communication skills for interacting with employees and external vendors.
  • Experience using travel management software and booking platforms.
  • Strong problem-solving skills to address unexpected travel issues.
  • Ability to adapt to changing travel regulations and industry standards.
  • Negotiation skills to secure favorable rates with travel and accommodation providers.
  • Ability to analyze travel data to identify cost-saving opportunities and improve efficiency.
